How Coffee Roasters Can Harness the Power of AI for Sales and Marketing

January 25, 2024

At its core, roasting coffee is a hands-on craft requiring the fine-tuned senses of an experienced professional. We need to see the color change, smell the caramelization, and taste the characteristics of each coffee we roast to ensure a consistently delicious product. Coffee is also an incredibly personal product, driven by relationships fostered from the farms to the cafe and roastery.

So, why are we writing an article about how to incorporate artificial intelligence into your business? After all, robots can’t see, smell, or taste coffee or shake hands with a new wholesale account…

Because artificial intelligence can help coffee roasters grow their business by expediting and streamlining sales and marketing processes, leaving more time for you to focus on the fun part: roasting.

Artificial intelligence (AI) is defined as “computer systems able to perform tasks that normally require human intelligence.” AI is all around us, from chatbots on websites to the facial recognition systems on our smartphones.

One type of AI is called ChatGPT. You can enter a prompt into this conversational AI tool, such as “Please create a recipe for chocolate chip cookies that yields three dozen cookies,” and ChatGPT will provide an answer based on information available across the Internet.

There are many ways coffee roasters can use AI and ChatGPT across their business. In this quick guide, we’ll show you how to take advantage of these tools to for sales and marketing:

  • Easily create sales campaigns to acquire more wholesale accounts
  • Brainstorm creative promotional ideas and marketing tactics
  • Develop targeted marketing campaigns using AI-generated audience segments

By the end, you’ll know how to implement AI into your sales and marketing efforts to grow your business effectively (and with profitability in mind.)

👉 Quick Note: It goes without saying that every roastery has different sales and marketing needs. With that in mind, this guide isn’t a step-by-step instruction manual. Instead, we’re here to show you the possibilities of AI for sales and marketing a coffee roasting business. It’s up to you to determine how AI fits best in your business and make magic happen.

Using AI to Generate Sales from Retail and Wholesale Customers

Artificial intelligence and sales processes go hand-in-hand. By adding AI sales capabilities to your coffee roasting business, you’ll be able to increase revenue from multiple sales channels without reinventing the wheel or working overtime. (Sounds like a win-win to us!)

Identifying New Sales Opportunities and Channels

Sometimes you need a bit of inspiration to spark new ideas for your wholesale efforts. AI-driven sales tools like Clay can help you gather a multitude of outbound sales information, such as email addresses, job title, phone numbers and more. From there, you can ask ChatGPT to generate personalized email templates using this information or tools like Clay and Exceed to automate lead engagement tasks like emails, qualifications, and meeting scheduling.

Capitalizing on AI to aid in your outbound sales efforts is an especially effective use of this technology (and your time!) Rather than spending time scrolling through online listings or social media for potential leads to reach out to, you can use AI to compile lists of potential wholesale accounts based on criteria such as:

  • Geographic proximity
  • Business type/category
  • Mutual connections (scraped from LinkedIn profiles or email contacts)

Of course, it’s up to you and your coffee to ultimately land the wholesale account, but think of all the time and effort you’ll save by incorporating AI into your sales processes!

Driving Coffee Shop Sales with AI

But what if your coffee company also owns a cafe? Is it possible to implement AI into the coffee shop setting and increase sales? You bet.

Certain customer loyalty platforms such as Joe or Square utilize artificial intelligence to drive sales by delivering personalized offers and rewards to repeat customers. Many of these programs leverage a dedicated mobile app, but others also integrate directly into your POS system.

These platforms use AI to analyze a customer’s purchasing behavior and present promotions or rewards in real-time via a mobile notification or discount at the register. For instance, if a customer orders a vanilla latte every time they come in, AI will recognize this habit and can…

  • Provide the ultimate convenience and preload that order for a customer to purchase. One-click and their favorite drink is on the way.
  • Recommend additional items that would pair well with the vanilla latte such as a muffin or a breakfast sandwich, effectively increasing their average order amount.
  • Offer a discount on this particular item, elevating the likelihood that the customer will continue to purchase this item or add another item into their order.

AI upsells and cross-sells to customers through a mobile app or the POS for you, all without your baristas needing to lift a finger.

Promote Your Coffee Roasting Business With Artificial Intelligence

You’ve already got so much on your plate. Sometimes the last thing you want to think about is sending out that email blast to customers or brainstorming social media content ideas. So, why not let AI do it for you?

Let’s explore a few ways coffee roasters can implement artificial intelligence and ChatGPT to promote their business.

Brainstorming and Ideation

Great marketing requires equal parts creativity and strategy. And sometimes coming up with ideas or working out the specifics of a strategy can take up far too much time.

Plus, after a long day of roasting or delivering coffees, coming up with new social media ideas or names for the next seasonal blend can be an absolute chore. Instead, ask ChatGPT to brainstorm ideas for you. This expedites the process and often sparks your creativity in the process!

You can ask ChatGPT prompts such as:

  • Suggest 10 different email subject lines for a newsletter about our newest single origin coffees.
  • Write me a blog post outline about sustainable coffee sourcing practices.
  • Generate 5-10 different social media video ideas for my coffee roasting business.

Don’t copy and paste content directly from ChatGPT, but rather find inspiration from its recommendations. While natural language programming capabilities make these robots sound human-like, it’s no substitution for your personality and character as part of your business’s marketing!

Targeted Strategies

Within your customer base, there are multiple segments based on demographic information such as location, age, and income, as well as behavioral data including purchasing behavior, spending habits, and more. When you know these individual segments, you can better understand how your coffee fits into their daily lives.

But, do you have time to comb through mountains of data and compile customer segments? Nope! Let AI do it for you.

One of the best marketing uses of artificial intelligence is its ability to detect and categorize customer segments based on personal information and purchasing behavior. AI tools like Peak.Ai and Twilio Segment integrate directly with your customer relationship management platforms, online stores, and POS systems to analyze customer data and automatically create audience segments based on similar behaviors or patterns.

Using these segments, you can use AI to create hyper-specific marketing campaigns for the previously generated audience segments. This can include:

  • Targeted social media ads for customers within a 25-mile radius of your roastery
  • Free shipping promotions delivered to customers who have bought from your online store in the last 6-months
  • Exclusive offers for wholesale customers who met a certain order volume threshold this past month

The more targeted you can be with your promotions, whether geographically or individually, the better chance you have of closing the sale.

Leveraging Predictive Analytics

Artificial intelligence can analyze previous marketing campaign results and generate predictions for future demand, sales, and promotion results. Doing so helps roasters make more informed decisions related to their marketing and advertising efforts.

For instance, if AI predicts that a paid advertising campaign on Instagram will only generate a handful of sales, the price it costs to generate, launch, and monitor the campaign may not be worth your while.

The use of predictive analytics in your roastery can be as simple as determining the best future time and day of the week to send an email newsletter, or as complex as forecasting future wholesale revenue based on existing ordering trends and transactions. Either way, AI does the work for you!

Integrated Marketing Tools

Artificial intelligence and online marketing go hand-in-hand. Marketing software such as Canva, Mailchimp, and Google Drive uses AI to provide a more personalized and streamlined experience for users. You might be using AI as part of your marketing efforts already and not even realize it!

Let’s take a look at how AI integrates into some of our favorite marketing tools:

  • Trello — Trello is a productivity and project management tool that many coffee roasters use to organize everything from wholesale activities to marketing campaigns and beyond. The platform offers many AI-driven power-ups from outside parties, but also its own “Atlassian Intelligence” capabilities designed to help teams be more productive.
  • Canva — Canva offers a multitude of AI tools including an image generator and their “Magic Design” feature which automatically creates a series of templates or visual media based on various prompts, uploads, and branding assets.
  • Grammarly — Who knew so much writing was involved in running a coffee business? From writing descriptions for your online products to crafting sales emails, Grammarly not only catches your errors but also leverages AI to help you write better content. For roasters who aren’t big fans of writing, this tool can save significant time (and let’s be honest, headaches!)
  • Rapidely — ChatGPT can help you come up with ideas for social media posts. But then it’s your responsibility to go out and create the content. Rapidely takes that burden off your shoulders with AI-generated monthly social media posts and scheduling. Its algorithm even learns how to write in your brand voice!

But that’s only a fraction of the AI-powered marketing tools available to roasters today. A quick Google search will unlock a multitude of possibilities—all with the goal of streamlining your marketing efforts.
